Hotel software has never been easier to find. Choosing one you can trust is another matter.
AI has made it faster for new products to look polished and established from day one. That does not make every newcomer a bad choice. But a smart website and a smooth demonstration cannot tell you how a PMS will perform during a busy week, whether support will answer or whether the company will still be there years from now.
A PMS quickly becomes part of the daily rhythm of your property and can be difficult to replace. The best choice is not necessarily the system with the longest feature list, but the one that fits your business, is backed by credible customer feedback and comes from a company you can rely on.
Look beyond the demonstration
A product demonstration is useful. It shows you how the software is designed to work and gives you a chance to ask questions.
But it is also a controlled environment.
It cannot fully show you whether your team will still find the system easy six months later, how support will respond during a busy check-in or whether the features will suit the particular way your property works.
Jordan Hollander, co-founder of Hotel Tech Report, recently described what many hoteliers say after regretting a PMS purchase. The demonstration went well, the salesperson was helpful and the case studies looked convincing. The difficulties only appeared later.
His conclusion was simple:
“The problem wasn’t the software. It was where the information came from.”
Information from a software provider is still useful, but it naturally shows the product from that company’s point of view. Reviews from hoteliers running similar properties add something different: a view of the software after it has become part of a real working day.
Begin with the way your property works
When comparing several systems, it is easy to become distracted by long feature lists.
A better place to begin is with the work your property needs to do each day. Think about how reservations arrive, which booking channels you use, how you take payments and which tasks take up the most time. Consider who will use the system and how much help they may need while getting started.
A feature is valuable when it solves a real problem for your property. More features do not automatically mean a better fit. They can also mean more complexity, a longer setup and a higher price.
The right PMS should cover the work that matters without making straightforward tasks unnecessarily difficult.
Read reviews for patterns, not perfection
A high average rating is encouraging, but it should be the beginning of your research rather than the end.
Read the written reviews and look for themes that appear repeatedly. Pay particular attention to businesses similar to yours in size and type. Do they still find the software easy after using it for some time? Does support respond when something goes wrong? Are reviewers describing specific experiences or offering only vague praise?
Critical reviews can be just as helpful as positive ones. They may reveal missing features, limitations or situations where the software is not the right fit. They also show how the company responds when a customer raises a concern.
The most useful review profile is not necessarily perfect. It is detailed, balanced and consistent.
AI can make this research faster by comparing features, collecting ratings and summarizing large numbers of reviews. But its answer is only as reliable as the information it finds. Follow the sources, check that the details are current and read some of the original reviews yourself.
AI can help organize the evidence. It should not replace it.
Test the software and the company behind it
A free trial gives you an opportunity to test more than the product.
Try the everyday tasks your team will actually perform. Create and change a reservation, check availability, handle a payment and explore any channel connections you need. Notice how the system feels when nobody is guiding you through a prepared demonstration.
Contact support with a real question too. See how easy it is to reach someone, whether the answer is clear and whether the person takes the time to understand your situation.
The company deserves some research as well. Is pricing easy to find? Are important limitations explained openly? Has the provider continued improving its product and supporting customers over time?
Longevity does not guarantee quality, and being new does not make a company unreliable. A longer history does, however, give you more evidence to examine.
What can a proven record look like?
By those measures, Sirvoy gives potential customers a substantial record to explore.
Hotel Tech Report currently ranks Sirvoy #6 out of 345 property management systems, with an overall rating of 4.7 out of 5 based on 140 reviews. Capterra also gives Sirvoy 4.7 out of 5, based on 301 reviews.
Being placed sixth in such a large category means a great deal to us. But the position itself is only part of the story.
Across both review platforms, customers regularly talk about ease of use and the help they receive from customer support. Potential customers can examine those experiences, including positive feedback and constructive criticism, rather than relying only on what Sirvoy says about itself.
Sirvoy’s history can also be checked. It began in 2008 as a practical booking system created to help one family-run hostel. Today, Sirvoy remains a family business and serves hospitality customers in more than 140 countries. In 2028, it will celebrate its 20th anniversary.
That history does not automatically make Sirvoy the right PMS for every property. No system is right for everyone.
It does give potential customers nearly two decades of product development, support conversations and customer feedback to consider. That kind of record cannot be created overnight.
“For me, being ranked #6 matters because it reflects more than a successful demonstration. It reflects years of customers using Sirvoy in real properties, contacting us when they need help and telling us what could be better. That trust has to be earned over time.”
— Nichlas Linderborg, Chief Customer Officer at Sirvoy
Choose for the years after the demonstration
There will always be new hotel software to explore, and some of it will be excellent.
The point is not to choose the oldest company or the product with the highest score. It is to look for enough reliable evidence to make an informed decision.
A polished website can tell you what a company promises. A demonstration can show you how the product is meant to work. Independent reviews, a realistic trial, responsive support and a verifiable history can tell you much more about what it may be like to depend on that system over time.
We are proud of Sirvoy’s position among Hotel Tech Report’s top-ranked property management systems. More than the position itself, we are grateful to the customers whose honest feedback helped put us there.
Their experiences help other hoteliers choose more confidently. They also help us understand what we are doing well and where we still need to improve.
Nearly 20 years after Sirvoy began with one hostel, earning and keeping that trust remains what matters most.
