Glossary of terms

Welcome to the Sirvoy Glossary; a jargon-busting guide for many of the terms you’ll meet on your hospitality software journey.  Missing something? Let us know, and we’ll add it.

Tech & Software

PMS (Property Management System)

Front desk software that manages reservations, check-ins, guest info, payments, and more.

HMS (Hospitality Management System)

A broader term that includes PMS and other operational tools used in running a hotel or property.

Front Desk

Sirvoy’s main dashboard for managing daily operations like check-ins, check-outs, reservations, and room availability.

CRM (Customer Relationship Management)

Software used to manage guest relationships, communication, and history.

Booking Engine

The software that allows guests to book directly through your website or social channels.

OTA (Online Travel Agency)

A third-party platform where guests can book your rooms e.g., Expedia, Airbnb, Booking.com.

Channel Manager

Connects your property to OTAs and syncs availability and rates in real-time.

Channel

A distribution partner like Booking.com, Airbnb, or Expedia.

Dashboard

The main overview screen, displaying a summary of your property’s key info like the calendar and statistics. 

Website Builder

A tool to create and manage your property’s website, often with integrated booking.

Integration

When your PMS connects and shares information with third-party tools (e.g., Stripe, SiteMinder, or keyless entry systems) to become even more efficient. 

Open API

A way for developers to connect external systems with Sirvoy or other platforms.

Webhook API

A system that sends data to another platform when certain events happen (like a booking being made).

Rate Manager

A tool used to control and adjust your room rates across channels, room types, and dates.

URL Callback API / URL Callback Feature

Notifies your external system when specific actions are performed in Sirvoy.

Plug-in

A software add-on that extends functionality (e.g., to handle reviews or analytics).

Custom Script

Code you can add to customize parts of your booking engine or website (In Sirvoy that means using custom CSS to modify colors, fonts, spacing, and layout, helping to make your embedded booking engine match your brand).

Mapping (MAPP)

The process of linking your room types and rates with OTAs in the channel manager.

SiteMinder

A popular channel manager and app store that has a direct connection to Sirvoy.

Performance & Metrics

ADR (Average Daily Rate)

Total room revenue divided by number of rooms sold.
Formula: ADR = Room Revenue / Rooms Sold

RevPAR (Revenue Per Available Room)

A key profitability metric.
Formula: RevPAR = ADR x Occupancy Rate

Occupancy Rate

The percentage of available rooms sold over a period.
Formula: Rooms Sold / Rooms Available x 100

LOS (Length Of Stay)

The average number of nights guests stay.

Booking Window

The number of days between when a booking is made and the check-in date.

Payments

POS (Point Of Sale)

A system used for handling payments at your restaurant, bar, or other property services.

Payment Gateway

A service that processes credit card payments securely online (like Stripe or PayPal).

Payment solutions

Broader term for tools handling payments; it includes gateways, vaults, and POS systems.

Security & Compliance

Authentication Devices / Two-Factor Authentication

Devices or methods (like SMS codes or apps) that add an extra layer of login security.

SCA (Strong Customer Authentication)

A legal requirement in Europe for verifying electronic payments securely.

Tokenization

A security method that replaces sensitive payment data with encrypted tokens.

Vault / Sirvoy Vault

A secure system for storing guests’ payment information safely.

Verified Stripe Partner

A trusted integration partner status with Stripe, ensuring high compliance and performance.

Phishing

A scam where attackers impersonate trusted brands to steal sensitive data.

GDPR (General Data Protection Regulation)

European regulation for how personal data must be handled and protected.

Functionality & Features

Multiple Rates

Offering more than one price plan for the same room (e.g., refundable vs non-refundable).

Derived Pricing

Automatically calculated prices based on another rate (e.g., 10% off the standard rate).

Derived Data

Info calculated from other data – like occupancy based on room bookings.

Restrictions

Rules on when and how rooms can be booked (e.g., minimum stay, closed dates).

Seasonal Price

Different pricing set for high vs low seasons.

Fallback Method

A backup process used when a primary system or integration fails.

Backup and Recovery

Systems to save your data and restore it in case of loss or error.

Outage

When a system is temporarily unavailable due to technical issues.

Placeholder

Temporary content or variables used when actual data isn’t available yet.

Parent Room Type

A primary category that can be linked to variations, like child room types or dummy rooms.

Dummy room

A pretend room used for testing or tracking availability.

Property & Booking Management

Room

A unit available to be booked (e.g., single, double, suite).

Room Types

Categories of rooms based on features (e.g., king room, family suite).

Duplicate room

A copy of an existing room, often created during setup.

Kiosks

Self-service terminals where guests can check in or access booking info.

Extras

Additional services or products offered to guests (e.g., breakfast, parking).

Review booking

The summary screen showing booking details before confirmation.

Direct booking

A reservation made straight through your website or over the phone with no OTA commission.

Distribution & Marketing

GDS (Global Distribution System)

Platforms like Amadeus or Sabre that connect properties to travel agents and corporate bookings.

SEO (Search Engine Optimization)

Techniques to help your property’s website appear higher in Google search results.

SME (Small to Medium Enterprises)

The type of businesses Sirvoy is designed to support — independent hotels, B&Bs, etc.
